From First Enquiry to the Big Party
Planning an event should feel exciting, not complicated. At The Party Guys, our goal is to make the booking process smooth, transparent, and stress-free from the moment you first get in touch all the way to the final song of the night.
Whether you're planning a birthday party, corporate event, wedding, school disco, private celebration, or community event, here’s exactly what happens when you book with The Party Guys.
Step 1: Your First Enquiry
Every great party starts with a simple conversation.
The first step is reaching out to The Party Guys with the details of your event. You can contact us through our website, email, or social media.
Helpful information to include:
• Event date
• Venue or location
• Type of event (birthday, corporate event, wedding, school disco etc.)
• Approximate number of guests• Services you’re interested in (DJ, lighting, photo booth, etc.)
Once we receive your enquiry, we will:
• Check availability for your date
• Recommend suitable entertainment options
• Provide a clear quote with no hidden costs

This helps us understand your vision and ensures we create the perfect entertainment experience for your event.
Step 2: Securing Your Booking
Once you're happy with the quote and ready to move forward, securing your event date is simple.
To confirm your booking we require:
•Full Name
• Email address
• Contact Number
This ensures your event is officially reserved in The Party Guys calendar.
Once confirmed, you will receive:
Full Booking Confirmation
Unique Booking Reference Number
Full Terms & Condition
Public Liability Insurance (PLI) Documents
Portable Appliance Testing (PAT) Certificate
Risk Assessment Report (where required)

When you book The Party Guys, you're booking directly with us.
There are no agencies, no middlemen, and no third-party booking platforms involved.
If we’re available on your chosen date, we’ll personally deliver your event with the professionalism and energy we’re known for.
Because we focus on delivering great experiences rather than overbooking, we only accept a limited number of events per date. If we’re already fully booked, unfortunately we won’t be able to take on additional events.
This approach ensures every event receives the time, preparation, and attention it deserves.
For your peace of mind, every confirmed booking includes the following documentation:

Many venues request these documents ahead of time, and we’re always happy to provide them.
Step 3: Planning Your Event
Once your booking is confirmed, we’ll ask you to send over a playlist fo songs you want us to play
We simply ask that it’s completed at least 30 days before your event so we have plenty of time to prepare everything properly.
Some clients enjoy building playlists and sharing lots of ideas, while others prefer to leave the music selection entirely to our experienced DJs. Both options work perfectly, we’ll adapt to whatever suits you.
If you have any unique ideas or special requests, feel free to share them.
For example:
• A surprise song for a birthday guest
• Special lighting colours to match a theme
• Interactive games or audience moments
• A custom music edit for a special entrance
We love helping turn ideas into memorable moments.
Step 4: Final Event Check-In
Around four weeks before your event, we’ll reach out again to see how your plans have come along
At this stage we’ll also arrange a planning call to review everything you’ve added to your planning form.
During this conversation we’ll confirm:
• Event timings
• Music direction and preferences
• Venue logistics
• Setup and access times
• Any special announcements or key moments
This ensures everything is perfectly organised and gives you complete confidence ahead of the event.
Step 5: Preparing Your Event
In the week leading up to your event, we begin final preparations.
This includes:
• Preparing music playlists and requested songs
• Planning the flow of the evening
• Preparing equipment and lighting setups
• Organising backup systems and music libraries
While preparation is important, great parties also rely on reading the room and responding to the crowd, something our experienced DJs do naturally.
Step 6: Event Day Setup
On the day of your event, we usually arrive 75–90 minutes before the entertainment start time to set everything up.
During this time we will:
• Introduce ourselves to the venue team
• Set up equipment safely and professionally
• Perform sound and lighting checks
• Prepare background music if required
Setup typically takes around 45–60 minutes, depending on the equipment and services booked.
Step 7: Party Time
Once the event begins, it’s time for the fun part.
Our goal is simple:
Create an amazing atmosphere and keep the party going.
If your event includes special moments, such as:
• A grand entrance
• Speeches or announcements
• Birthday celebrations
• Award presentations
• The first dance
... we can help guide these moments using the microphone so everything runs smoothly.
Once the dancefloor opens, our DJs will mix music, read the crowd, and keep the energy building throughout the night.
Guest requests can be welcomed, limited, or turned off completely, depending on your preference, something we’ll agree on beforehand.
And remember…
You are the VIPs.
If something spontaneous happens during the night — an extra request, surprise song, or last-minute idea, we’re always happy to help make it happen.
Step 8: After the Party
The event might end, but the memories last.
We love seeing photos and videos from the amazing events we’re part of. If you share anything on social media, feel free to tag The Party Guys so we can celebrate with you.
